Being a mom in tech means life moves fast — there’s always a meeting, a deadline, a school event, and a Lego masterpiece in progress.
Family comes first for me, always. But I’ve learned that the right tools help me work smarter, so I can spend more time where it matters most — with the people I love.

Some of these tools you might know. Some might surprise you. All of them are part of my daily life running Studio VN – AI & Digital Solutions, building  Ciao Mama Codes, and keeping our home life running smoothly.

I use free plans for all of these — and honestly, you can too. Here’s what works for me, the pros & cons, and when it might be worth upgrading.


1. Trello – My Visual Brainboard

  • What it does: Task management in boards, lists, and cards — super visual and easy to adapt for business, blog, and home projects.
  • Why I love it: I keep one board for Studio VN, one for Ciao Mama Codes, and one for family life (packing lists, move prep, meal ideas).

  • Upgrade? Only worth it if you manage a big team or need advanced automations.

2. Notion – My Everything Notebook

  • What it does: A flexible workspace for notes, databases, and content calendars.
  • Why I love it: Blog drafts, content ideas, recipes, and even Leo’s daycare info all live in one place.
  • Free plan: Generous for individuals, unlimited pages and sharing.
  • Upgrade? Only for advanced collaboration or API access.

3. Canva – Design in Minutes

  • What it does: Easy graphic design for social media, blog visuals, and presentations.
  • Why I love it: Drag-and-drop, templates, and brand kits for quick creation.
  • Free plan: Huge library of templates and stock photos.
  • Upgrade? If you need premium photos/videos or full brand kit features.

4. Google Calendar – My Daily Compass

  • What it does: Schedules everything — from client calls to dentist visits.
  • Why I love it: I integrate all my calendars (personal, work, family) so I can see the full picture in one view.
  • Free plan: Totally free with your Google account.
  • Upgrade? Not needed unless you move to a business workspace.

5. Clockify – Time Tracking Without Stress

  • What it does: Tracks how much time I spend on different projects.
  • Why I love it: Helps me see what’s eating my time — and adjust before I burn out.
  • Free plan: Unlimited tracking, reports, and projects.
  • Upgrade? If you need advanced billing or team management.

6. Zapier – The Invisible Assistant

  • What it does: Connects apps so they talk to each other. Example: new blog post → auto-share on social media.
  • Why I love it: Saves me hours of repetitive work.
  • Free plan: 100 tasks/month. Enough for light automation.
  • Upgrade? If you want heavy automation and more tasks.

7. Grammarly – The Friendly Proofreader

  • What it does: Checks spelling, grammar, and tone in emails, posts, and proposals.
  • Why I love it: Keeps my writing clear and polished, even if I’m typing with one hand while making snacks.
  • Free plan: Grammar and spell-check plus tone suggestions.
  • Upgrade? If you want full style and clarity checks.

8. Simple AI Agents

  • What they do: Small, focused scripts that help with specific tasks like summarizing emails or pre-scheduling posts.
  • Why I love them: They work quietly in the background while I’m with my family.
  • Free plan: Often open-source or limited free use.
  • Upgrade? If you want continuous, high-volume automation.

A Day in My Life Using These Tools

7:00 AM – Family Breakfast
Google Calendar reminds me of today’s calls and Leo’s playdate. I adjust my Trello board while sipping tea.

9:00 AM – Work Block 1
Open Notion for my blog draft. Canva is ready for the post visuals. Grammarly checks my email replies.

11:30 AM – Admin Time
Clockify logs my content work. Zapier silently posts my finished designs to the right channels.

1:00 PM – Lunch & Life
I’m offline. Family time, no exceptions.

2:00 PM – Work Block 2
Trello keeps me on track for Studio VN’s client updates. Simple AI agents prep tomorrow’s post schedule.

4:30 PM – Mom Mode
Pick up Leo, check the family Trello board for dinner ideas, and take a walk.

8:00 PM – Quiet Creative Hour
One last Notion check for tomorrow, clock out on Clockify, and close the laptop.

Result: Without these tools, I’d spend 2–3 extra hours each day juggling logistics. That’s 10–15 hours/week — time I now spend living, not just working.
